Messaging. Where it usually lives: Coaching platform, not WhatsApp. Notes: Keeps conversations on the client record.

Payments (monthly base plus sessions). Where it usually lives: Platform payments or a billing tool. Notes: Ideally linked to app access.

Progress photos and measurements. Where it usually lives: Coaching platform. Notes: One history, whichever way the client trains.

If a job sits in two places (a calendar in your phone and another in the gym system, or floor notes in a notebook and online logs in the app), that is where things go missing.

Do you need separate booking software as a hybrid PT?

Often yes, or at least a clear decision about which tool owns the calendar. Many coaching platforms focus on delivery (programmes, check-ins, nutrition, messaging) and leave booking to a separate tool. Some bundle it. According to their live pricing pages (checked 28 September 2026), Everfit lists Booking & Scheduling on its Pro and Studio plans, and ABC Trainerize lists appointments, classes and calendar sync, with premium scheduling in its Business add-on ($25/mo on Grow and Pro, included on Studio).

If you are employed by a gym, you may have to use the gym's booking system anyway, whatever your coaching software offers.

You have three workable options:

  • Coaching platform plus a dedicated scheduling tool. Best-in-class booking and best-in-class coaching, at the cost of one more login and one more subscription. Personal trainer scheduling software is its own category, and a simple booking-link tool is often enough for one-to-one sessions.
  • Coaching platform plus the gym's system. No extra cost for booking and it keeps you inside gym rules. You work with whatever the gym gives you, and the booking data stays with the gym.
  • One platform that includes booking. Fewer logins and one bill. Check whether booking is included in your plan or sold as an add-on, and whether the rest of the delivery (nutrition, check-ins, payments) is as strong as you need.

ABC Trainerize. A good fit for PTs who want booking inside the same platform and are happy to build their plan from add-ons. The pricing page lists appointments, classes and calendar sync, custom and pre-made habits, and meal and macro tracking, with a free plan for one client. Premium scheduling, integrated payments, advanced nutrition and a Pro branded app are paid extras, so the real monthly cost depends on which you add. It also has "Basic clients" who can only book and buy, and its pricing FAQ says they don't count against your client limit, which suits PTs with clients who only book sessions.

Everfit. A fit for PTs who want booking and habits on a mid-tier plan with a free tier to start. According to its pricing page, Pro lists Booking & Scheduling, Habit Coaching, food journal and macro tracking, basic meal plans and custom branding, priced by client count from $19/mo for five clients on monthly billing. Payments & Packages, the fuller Meal Plans & Recipe Books module and Autoflow automation are add-ons, so price the package you will actually use rather than the base plan.

TrueCoach. A fit for PTs who mainly want clean programme delivery and are comfortable with nutrition through MyFitnessPal. The pricing page lists a workout builder, a 3,000+ exercise video library, custom habits (daily, weekly or monthly), in-app messaging and free automated payments powered by Stripe, with a custom-branded app on Standard and Pro. Set the calendar owner first, then make every session and every online week feed the same client record.
